This position reports to and works directly with the President & CEO and in close collaboration with the Director of Finance and Managing Director, Economic Development. The Executive Administrator also works closely with other staff members to ensure smooth operations and effective collaboration. As the representative of BioHealth Innovation, the Executive Administrator will provide administrative work in coordination with external leaders, constituents and board members.

ESSENTIAL DUTIES
- Manage the CEO’s calendar and schedule
- Ensure the CEO is appropriately supported for meetings; oversee the creation of presentations, and ensure all relevant details are communicated appropriately
- Coordinate travel logistics, prepare itineraries
- Communicate regularly with Board of Directors and other key executive contacts
- Prepare materials for BHI Board of Directors’ meetings. Take minutes at meetings and follow-up on action items
- Schedule meetings for EIR team; manage EIR calendars; attend EIR program meetings and take minutes and manage action items
- Prepare and handle confidential and personal information
- Represent BHI to internal and external business contacts
- Send documents to BHI partners
- Manage reception area to maintain professional image; liase phone calls and emails to appropriate contacts
- Sort and distribute mail
- Order and receive office supplies
- Manage calendar for facility conference room
- Collaborate with Manager of Operations on facilities management including maintenance of office equipment and housekeeping of office facilities
PROJECT & EVENTS MANAGEMENT
- Assist in the coordination of BHI events including managing event logistics and RSVPs. Sit on event planning committees and write applicable meeting minutes
- Act as Lead Coordinator and work with CEO on fundraising and logistics for annual BioForum
OTHER
- Other duties which are not listed may be assigned.
QUALIFICATIONS
- Proficiency with Outlook Calendar, Microsoft Office Suite (Power Point is a must), Adobe Acrobat Pro
- Experience in working with Microsoft Publisher a plus
- Exceptional organizational skills
- Professional writing ability
- Comfortable working with deadlines and skilled in timely response to emails
- Proven customer service and communication skills with all types of professionals
